Marketo Engage instances tend toward entropy: every quick campaign, cloned program and one-off field compounds until the instance is a haunted house nobody dares renovate. The partners worth hiring are the ones who build against that entropy from day one — and the evaluation checklist below is designed to find them. Architecture and foundations

Lifecycle model on paper. Ask for a sanitized lifecycle architecture from a past client — stages, gates between them, SLAs, and how records move. This single artifact reveals more about a Marketo partner than any deck. No artifact, no shortlist.

Program templates and naming. Request their program-template library approach and naming taxonomy. Instances live or die on cloneable, tokenized program templates; partners without an opinionated system will leave you an unnavigable folder tree.

CRM sync depth. Whether Salesforce or Dynamics, the sync is where Marketo engagements go to suffer. Ask how they design sync filters, handle field ownership between systems, prevent sync queues from backing up, and what their worst sync incident taught them.

Data hygiene plan. Standardization (country and state normalization), deduplication strategy, and an acquisition-source model that survives audits. Ask what percentage of a typical client database is marketable after their first cleanup — practitioners know this number.

Scoring, routing and revenue plumbing

Scoring philosophy. Strong partners design scoring around sales conversations ("what makes a lead worth a call?") and instrument demographic and behavioral scores separately, with decay. Ask how they validate scoring against actual opportunity outcomes — scoring nobody back-tests is astrology.

Routing and SLA instrumentation. Speed-to-lead is one of the few marketing metrics with unambiguous revenue evidence. Ask how they measure and enforce it, and what they build so a hot lead never sits unowned overnight.

Attribution expectations. Marketo's native reporting has limits every honest consultant names unprompted. Ask where they draw the line and what they use beyond it (BI on Marketo data, revenue-cycle modeling). Overpromised attribution is a classic Marketo engagement failure.

Migration and integration hygiene

Migration triage method. Moving from HubSpot, Pardot or an older instance? The right method is triage — rebuild the top programs properly, archive the tail — not lift-and-shift of every asset. Ask what they refuse to migrate.

Integration inventory. Webinar platforms, enrichment vendors, chat, sales engagement — each connector adds failure modes. Ask which integrations they have wired and how they monitor them post-launch.

Operating model

Enablement built in. Admin training, documented runbooks and a certification path for your team should be line items. Ask what your team will own at day 90 versus day 180.

Managed-services shape. If you buy ongoing help: named consultants, request turnaround SLAs, monthly instance-health reporting, and a queue you can see. Ask for a sample monthly report from a live account.

Implementation and rebuild engagements typically run $40,000–120,000 across two to five months depending on CRM complexity and program scope; enterprise multi-workspace programs go higher. Managed services run $4,000–15,000 monthly. Marketo expertise concentrates in specialist consultancies more than global integrators — team-level evidence (Marketo Certified Experts on the actual engagement, with names) outweighs firm size everywhere in this market.
